Questions

Things owners ask us first.

If your question isn’t here, ask it on the call. We would rather answer it honestly than have you guess.

How quickly can I have an assistant working?

Most clients are matched and onboarded within two weeks of the consultation. If you have an urgent gap — a receptionist out, a scheduler quitting — tell us on the call and we’ll prioritize accordingly.

Do I have to train them myself?

No. We train your assistant on your workflows before they start, using what we learn on the consultation call and a short discovery process. You’ll spend far less time on onboarding than with a direct hire.

What does “Integrate AI” actually mean?

It means we build automation into the work rather than paying a human to do what software should. Automated intake routing, follow-up sequences, call summaries, data entry, reporting — the repetitive layer gets handled by systems so your assistant spends their hours on judgment work.

What if it isn’t the right fit?

Your account manager checks in regularly, and if a match isn’t working we’ll replace the assistant. You aren’t stuck managing a bad hire.

Is this cheaper than hiring in-house?

Substantially — no payroll taxes, benefits, equipment, or office space, and you only pay for the hours you actually need. We’ll walk through the real numbers for your situation on the call.

Do you only work with home care agencies?

Home care is our deepest specialty — it’s the industry we’ve run ourselves — but we support service-based businesses broadly: cleaning companies, med spas, contractors, staffing firms, real estate teams, and agencies.

How does data security and confidentiality work?

Every assistant signs a confidentiality agreement, and we set them up with least-privilege access to only the systems they need. For home care clients, HIPAA-aware handling is part of standard training.

What hours do assistants work?

We match to your coverage needs rather than forcing a fixed block. Tell us when the phone actually rings and when the work actually stacks up, and we build the schedule around that.

Can I start with one role and add more later?

That is how most clients do it, and it is what we recommend. Start where the pressure is worst, get that stable, then add. Scaling all at once usually means training three people badly instead of one person well.

What if I want to learn to do this myself?

Then look at the courses. Chaos to Systems walks through systemizing, documenting, automating, and building a virtual team on your own. Some owners do that first and hire later; some do both.
